Your member roster lives at Admin → Membership Tiers → Members. This is the day-to-day article: adding a member by hand, loading a roster you already have, keeping one honest answer to "is this person a member", connecting a membership to the account someone actually signs in with, and working renewals and lapses. Membership standing is a record, not a label
Every person on your roster carries an explicit membership standing. Hover the badge next to a name to see it: Status, Tier, Source and Valid through.
Status reads Member, Provisional, Lapsed, Suspended or Not a member.
Source says where the standing came from: Stripe subscription, CSV import, Little Green Light, Admin grant or Application.
Valid through is the date the standing runs out, when there is one.
That one record is the answer everywhere. Your member roster, a person's page under Admin → People, the eligibility check on a members-only call, and the member discount on an entry fee all read the same standing, so they cannot disagree with each other. A live Stripe subscription always wins: someone paying dues through Crafted Call is a member regardless of what any import says.
Adding a member by hand
Use this for the person who joined at the front desk, or the founding member you are entering while you set up.
Open Admin → Membership Tiers → Members and choose Add member.
Enter their First name, Last name and Email. Membership is matched on that address, so use the one the artist signs in with.
Pick a Membership tier if you have tiers, or leave it as No tier.

Add member
They can enter members-only calls immediately, and no email is sent. Adding someone who is already an active member changes nothing; adding someone who had lapsed reactivates them. Someone paying dues through Stripe is never overwritten by a manual grant.
You can do the same from Admin → People with Add person, by ticking Active member of the roster and choosing a tier.
Importing a roster from a spreadsheet
Controlled rollout: member roster import. This is being switched on organization by organization. If you do not see Import members on your People page, ask support to enable it. Access varies by organization.
Open Admin → People and choose Import members. The import creates member records only. It never emails anyone and never creates login accounts.
Upload your CSV.
Map your own column headings to Crafted Call's fields. There is no required header naming: you match Constituent / member ID, Email, First name and Last name, and optionally Display name and Membership tier. If your file names tiers differently from yours, map each one under Tier mapping.
Choose an import mode. Add and update only never lapses anyone missing from the file. Authoritative roster treats the file as your complete active list and proposes lapsing anyone absent from it.
Preview. You get counts for Create, Update, Unchanged, Invalid, Ambiguous and Proposed lapses, and you can Download report to see the detail row by row.
Apply import. An authoritative import that would lapse members asks you to type a confirmation phrase first.
Invalid and ambiguous rows are skipped rather than guessed at. A row appears twice in your file, or matches one member by ID and a different member by email, is left alone for you to fix and re-import. Re-running the same file changes nothing, so a corrected file is safe to run again. Every import is recorded as a batch and can be rolled back.
Syncing from Little Green Light
If Little Green Light is your system of record, connect it at Admin → Integrations and it can drive membership standing directly.
On the Little Green Light card, paste your API key and choose a Sync mode: Donors only (marketing), Membership (call eligibility), or Both donors and membership. In a membership mode you also tell Crafted Call which field holds membership status, which values mean active and which mean lapsed, and how each Little Green Light level maps to one of your tiers. Choose Sync now to run it.
The sync runs one way, from Little Green Light into Crafted Call. It matches on the constituent ID, falling back to email for a member it has not seen before. It will not overwrite a standing you granted by hand or one that came from an application; that turns into an item in your review queue instead. The card shows the last attempt, the last successful sync, and how many members were synced, lapsed or flagged for review. See Integrations for the rest of the connection setup.
Connecting a membership to the right account
Members sign up for your program with one email and sign in to Crafted Call with another more often than you would expect. Crafted Call already matches on both the linked account and the membership email, so most of these resolve themselves.
When they do not, the member fixes it without your help. On a members-only call, the blocked page names the address they are signed in as and offers I'm already a member. They enter their membership email, Crafted Call sends a Confirm your membership email, and clicking Confirm membership links that membership record to the account they are signed in with. The link lasts 24 hours and works once.
This connects the membership record only. It is not an account merge, and no submissions, payments or other records move.
If a member asks for the link again within a few minutes, Crafted Call deliberately keeps the one already on its way rather than replacing it, because a resend that kills the link about to arrive is worse than a wait. Both the page and the email say the same thing: delivery can take a few minutes, check the spam folder, and if more than one arrives, only the newest works.
You can also do it from your side. Open the person under Admin → People, choose Link membership record, and pick the account. The same rule applies: only the membership moves.
The membership review queue
Anything that needs a human decision collects in the Membership review queue rather than blocking the member.
Paid, review pending is a renewal that has been paid. The member is already active; you are confirming the record.
Source conflict is a sync or import that wanted to change a standing you had set by hand.
Approve, suspend or dismiss each item. An empty queue is the normal state.
Renewals and reminders
Paid memberships renew automatically on their Stripe billing date. Crafted Call emails members 30 days before, again 7 days before, and once more if a membership lapses, so a charge is never a surprise. Your own membership automations, if you have built any, run instead of these.
To reach lapsed members yourself, use Send renewal reminders on the Members page. Preview shows how many are Lapsed members, how many Will receive the email, and how many were Recently emailed and will be skipped. You can add an opening line in your own voice, send yourself a test, then send. Anyone emailed in the last day is skipped so nobody gets chased twice.
The email is subject-lined Renew your {tier} membership at {your organization} and its button takes the member straight to your join page.
Working lapsed members
Lapsed members already valued membership enough to join once, so they are your best re-engagement list.
Filter the roster to lapsed, newest first.
Separate the failed payments from the deliberate cancellations. A failed renewal usually only needs a card update.
Send renewal reminders to the recoverable group.
Follow up once more a week later.
Stop chasing the ones who have clearly moved on.
Troubleshooting
A member says they paid but shows as lapsed.
Check the Source and Valid through on their standing. A payment collected outside Crafted Call does not change a Stripe subscription, and vice versa.
A member cannot enter a members-only call.
Compare the email on their membership record with the one they signed in as. Point them at I'm already a member on the call, or link the record yourself from their person page.
An import skipped rows.
Download the report from the preview. Rows are skipped for a missing or malformed email, a missing ID or name, or because they matched two different existing members.
Renewal reminders did not reach everyone.
Anyone emailed within the last day is skipped on purpose. Wait a day and send again.
