Finding Your Way Around the Admin
Gallery OwnersUpdated Sep 21, 2026
The admin sidebar is grouped by the kind of work you are doing rather than by feature name. Once you know which group owns which job, you stop hunting. This guide is a map of the sidebar, the switcher above it, and the two shortcuts worth learning on your first day.
The two groups you will use most
Programming is the work you put in front of artists and the public:
Calls
Jurying
Exhibitions
Events
Classes & Workshops
Classes and workshops have their own entry rather than sitting inside Events, because for most art centers the class program is a business of its own, not a subtype of an opening.
Operations is what happens with the physical work and the physical space:
Dropoff & Pickup
Gallery Spaces
Labels
Import & Migrate
The rest of the sidebar
Home is your dashboard.
Inbox gathers what is waiting for you: Attention, Messages, Inquiries and Contact Submissions.
Insights reports on programming, audience, email and finance.
Sales holds Catalog, Orders and Coupons.
Finance holds Payments, Invoices, Artist Payouts, Commissions, Donations, Financial Reports, Reconciliation, Payout Reports and Billing.
People holds your contacts and Team & Access.
Website appears when you have a hosted site, with Pages, Media, Navigation, Templates, Forms and Settings.
Marketing holds campaigns, audiences, brand themes, signup forms and automation.

Rentals and Volunteers appear when those tools are part of your plan.
Settings holds Organization, Integrations, Brand & Identity, Membership Tiers, Members, Templates, Embed Widgets and API Keys.
Sections appear based on your plan and your access, so your sidebar may be shorter than this list. Nothing is hidden from you arbitrarily: if a section is missing, either your plan does not include it or your role does not reach it. See Team Members and Permissions.
Collapsing the sidebar
Collapse the sidebar when you want the screen for the work itself. Collapsed, it shows only the section icons, and hovering one opens a flyout with that section's items. You do not have to expand the sidebar again to jump somewhere, and the flyout waits a moment before closing, so moving your pointer across the gap into it does not dismiss it.
The flyout also opens by clicking or by keyboard, so it works without a mouse.
Switching organizations
If you belong to more than one organization, the switcher sits at the top of the sidebar as Switch Organization. It has a search box, and it scrolls when your list is long.
The organizations you have used most recently rise to the top on their own. Star the ones you are in constantly and they collect under Favorites, in an order you can drag into shape.
Check which organization is active before you make changes. Each one keeps its own calls, team, identity and public pages, and a change made in the wrong one is a change made to a real organization.
Knowing where you are
Breadcrumbs run across the top of every admin page, starting from Admin, so a deep page always tells you the path back. Use them rather than the browser's back button when you have been moving through a call and its submissions.
Two shortcuts worth learning
Press ? anywhere in the admin to open Keyboard shortcuts. Escape closes it. The list is grouped by where each shortcut works, and it links out to a fuller reference.
The most useful group is Go to, which works from anywhere in the admin on a desktop. Press g then a letter:

Command K opens the search palette, which finds calls, submissions, artworks and people by name. When you know what you want and not where it lives, this beats the sidebar.
Asking Frida
Frida is the assistant built into the admin. Open the panel from its button to ask a question about your own organization's work, or to be walked through what is waiting in your inbox.
With the panel focused, j and k move between items and a, r and s approve, reject or snooze the one you are on, so you can clear a queue without leaving the keyboard. The shortcuts overlay lists these under Ask Frida.
