Call Templates & Recurring Series

There are three ways to avoid rebuilding a call you have already built once: duplicate the call, save it as a template, or set up a recurring series. They are not interchangeable, and the differences matter. This guide covers what each one actually carries over.
The short version: duplicating copies almost everything and is what most galleries want. A template carries a smaller, deliberately generic set of settings and is for starting a new kind of call quickly. A series generates future drafts on a schedule.
Duplicating a call
This is the closest thing to "run last year's call again".
Open the call and choose Duplicate Call from its menu, or Duplicate from the row menu on the calls list. Give the copy a New Call Title, decide whether to tick Duplicate coupons, and confirm.
The copy carries the description, poster and gallery images, requirements, guidelines, prospectus, FAQ, eligibility, custom questions, submission limits, the full fee configuration including tiers and waivers, venue and logistics details, and the jury configuration. It does not carry submissions, jury assignments, or payment status.
Three things are deliberately new:
The copy is a draft and has to be activated and published like any other call.
The dates shift forward. Submissions open a week from today, and the submission window keeps the same length as the original.
The platform charge per completed application is read from your organization's current plan rather than copied, and you choose again who pays it when you publish.
One thing to re-check after duplicating: if the original call had categories mapped to mediums, the copies of those categories may need their medium mapping set again. Open Setup → Jury on the new call and confirm each category still claims the medium you expect.
Saving a call as a template
Open the call and choose Save as Template from its menu, or use the Save as Template card on the workspace Tools tab. Give it a Template Name and an optional description, then press Save Template.
A template is narrower than a duplicate. It carries:
The call title and description, requirements, and guidelines
Submission limits: maximum submissions, maximum images, whether images are required, file types and size, and document uploads
The submission fee amount and currency

Blind jury on or off, and the scoring range
It does not carry dates, and it also does not carry your custom questions, eligibility rules, fee model details such as tiers or early-bird pricing, fee waivers, categories, or venue and logistics settings. If those took you an afternoon to set up, duplicate the call instead of templating it.
Using a template
On Admin → Calls → Create Call, a banner reads Start with a Template. Press it to open Choose a Template, where each template has a Preview button showing the default title, description, requirements, guidelines, and settings before you commit. Start from Scratch is the first card if you change your mind.
Choosing a template pre-fills the wizard. Everything is still editable, and you still set the dates yourself.
Managing templates
Templates live at Admin → Templates, in the Settings area of the sidebar, on a page headed Call Templates. That page also links out to your other template libraries, so scroll to the call templates grid. Each template card shows its default title, fee, submission limit, and how many calls have been created from it.
The row menu offers:
Use Template, which opens the create wizard with the template applied
Edit, to change what the template contains
Duplicate, which makes a copy named "(Copy)"
Delete, which is disabled once any call has been created from the template
There is no preview on this page. Preview is only offered inside the create wizard's picker.
Recurring series
A series generates future calls on a schedule so you are not creating twelve monthly open studios by hand.
Setting one up
A series is created from a call, not on its own. In the create-call form, turn on Create Recurring Series and fill in:
Series Name
Frequency: Monthly, Quarterly, or Annual
Every: a number from 1 to 12, so "every 2" with Monthly means every second month
Max Occurrences (Optional), up to 50, left blank for no limit
Ends At (Optional)
The submission start date of the call you are creating is the first occurrence. Creating the series generates a small initial batch of drafts, three by default.
There is no custom recurrence pattern beyond frequency times interval, and a series has to start from a call rather than from a template.
What gets generated
Every occurrence is a separate draft call with its dates shifted forward by one cadence step. Occurrences are titled from the base call: if the title contains a four-digit year it is advanced, and occurrences created later on the schedule get the month and year appended. Rename any of them.
Each generated occurrence is a full call in its own right. Editing one does not touch the others, and each one counts against your plan's active and annual call limits, so a twelve-month series is twelve calls against your allowance. See Pricing and Plans.
Managing a series
Series are managed at Admin → Series, headed Recurring Series. Reach it from the admin search box. Owners, admins, and team members with programming access can open it.
Each series card shows whether it is Active or Paused, its frequency, the date of the next occurrence, and any limit or end date you set. Two actions are available:
Generate Next creates the next occurrence immediately, rather than waiting for the schedule.
Pause stops new occurrences from being generated. Activate starts them again. Drafts already generated are untouched.
Below the card, Upcoming Occurrences links to each generated call.
Once a series exists, its frequency, interval, and end date cannot be changed from this page, and a series cannot be deleted. If the cadence was wrong, pause the series, delete the unwanted drafts, and start a new series from a fresh call.
Which one to use
Running the same call again next season? Duplicate it.
Starting a new kind of call and want sensible defaults? Save a template once, then use it.
Running the same call on a fixed schedule? Set up a series and let it generate the drafts, then edit and publish each one when its turn comes.
