Custom Submission Fields

Custom fields are your own questions on a call's submission form, asked alongside the standard title, medium, and dimensions. They live at Admin → Calls → your call → Edit → Setup → Entry, in the Form & Questions block, under the heading Custom Fields. Press Add Field to create one. The same builder appears in the create wizard, on the Entry step under Advanced submission options.
Keep the list short. Two to four questions is a good target, because each one is another reason an artist stops halfway.

Image upload takes exactly one image per question, up to 50 MB, as JPEG, PNG, WebP, HEIC, or HEIF. These images are stored privately and are never served from the public page. Use it for anything that is not the artwork itself, such as a booth layout or a photograph of a frame.
Price range asks for two numbers, labelled Lowest price and Highest price in the call's own currency. There is no per-question currency setting. It is the right question for "what do your pieces typically sell for" when a single price would be a lie.

Setting up a question
Each field has the same handful of settings:
Field Label is the question the artist reads.
Instructions (optional) is the guidance underneath it, and is where a word limit or a formatting rule belongs.
Placeholder Text is hint text inside an empty box. It is not offered for checkboxes, choice questions, image uploads, or price ranges.
Required is a switch. A required question blocks the submission until it is answered.
Word Limit and Character Limit are offered on Short Text and Long Text only. Artists see a live counter that turns red when they go over.
Dropdown Options or Choice Options hold the list for the three choice types. Press Add Option for each one.
Number fields have no minimum or maximum setting.
Showing a question only when it applies
Any question can be hidden until an earlier question is answered a particular way. Open the field and use Conditional visibility: Only show this field when an earlier choice field has a certain answer. Pick the earlier question, an operator of is, is not, or is any of, and the answers that reveal it.
The condition can only point at a Dropdown, Single Choice, or Multiple Choice question that sits above it in the list. If none exists, the panel says so. A hidden question is never required, and any answer left behind in a hidden branch is discarded when the artist submits.
Reordering
Reordering is done with the small up and down arrow buttons on each row, not by dragging. The order in the builder is the order artists see.
What artists see
If a call has one or two simple questions, they appear at the end of the submission form under the heading Additional Information. If there are more than two, or if any of them is a Long Text, Multiple Choice, video link, image upload, or price range, the questions get a step of their own called Call Questions.
Uploaded photographs preview immediately, with a Remove image button. If the artist reloads before the draft has finished saving, the thumbnail may briefly be replaced by the text Image uploaded. The preview is not available yet. The answer itself is not lost.
Missing answers are reported per question, for example "Artist statement is required", or "Select at least one option for Preferred media" for a multiple-choice question. Drafts are saved as artists type, and an autosaved draft keeps only answers that match the questions currently on the call.
Where the answers show up
Answers appear in three admin places, all of them under a Questions heading:
The submission detail page, at Admin → Calls → your call → Submissions → a submission.
The Quick View panel opened from the submissions list.
The review packet, where the section is headed Call-Specific Answers.
Two things worth knowing. Custom answers are not columns in the submissions list. And jurors do not see them during scoring, so a question whose answer should influence a score belongs in the artist statement instead.
Correcting an answer for an artist
When an artist emails to say they answered a question wrong, open the submission and press Edit submission. You get the same form the artist filled in, custom questions included, and can correct the answer on their behalf. The same validation applies, so a required answer still cannot be blanked out. The change is not attributed to you anywhere on the submission, so add a note if the correction needs a record.
Exporting answers
Custom answers export with everything else. Each question becomes a column headed with its label exactly as you wrote it, and a price range becomes two columns suffixed (low) and (high). Checkboxes export as Yes or No, and multiple choice exports as a semicolon-separated list.
One limit to plan around: the organization-wide submissions export includes custom-field columns only when you have filtered it to a single call and chosen CSV. There is no way to line up different calls' questions in one sheet. Per-call exports always include them. See Exporting Submissions.
Editing a question after submissions arrive
Once any artist has answered a question, that question is frozen in two respects: it cannot be deleted, and its type cannot be changed. Trying to save either change is refused, with a message naming the question. This protects the answers you already have from being reinterpreted as something else.
Everything else stays editable at any time. You can rename the label, rewrite the instructions, change the options, switch it between required and optional, and move it up or down. Existing answers are never rewritten, so an old answer will be displayed under the new label. Changing the option list does not invalidate answers already given, and nothing re-checks past submissions against the new rules.
Deleting a question nobody has answered is allowed and immediate.
