Crafted Call splits reporting in two. Insights answers how the organization is doing: submissions, audience, email, sales. Finance produces the documents someone else reads: a monthly statement, a board packet, a spreadsheet for your accountant. This guide is the map. It says which surface answers which question, and what you get when you export.
Who can see this: Insights needs an Owner or Admin role, or a scoped role covering the area you are looking at. Finance surfaces need an Owner or Admin role, or Finance access. Some reports also depend on your plan. See Team Roles and Permissions.
Insights: how the organization is doing
Insights (Admin → Insights → Overview) shows up to four headline cards, one per area you have access to:
Programming: submissions received in the period.
Audience: page views on your public pages.
Email: open rate on campaigns.
Finance: net organization sales.
Each card names its own metric and compares it to the previous period or to the same period last year. A card you are not authorized for says so rather than showing a blank number, and a metric that could not be computed says that too instead of showing zero.
Two pages go deeper:
Programming (Admin → Insights → Programming) covers submissions, jury throughput and your strongest calls.
Audience (Admin → Insights → Audience) covers traffic to your public pages and where visitors came from.
Every period is anchored to your organization's timezone, so "this month" means your month.
Finance: the documents
Financial Reports (Admin → Finance → Financial Reports) is the finance hub. From here you reach:
Monthly Statements: revenue, fees, refunds and net for a month or any custom range.
Revenue Reports by call, the same structure scoped to a single call.
Fee Analysis: Stripe, platform and conversion fees broken out.
Expense Reports: your recorded organizational expenses.
Use Generate Financial Report to produce a document. The dialog asks for:
Report Type: Profit & Loss, Revenue Summary, Expense Summary, Tax Summary, Tax Year Summary, Cash Flow, or Board Summary.
Report Period: Daily, Weekly, Monthly, Quarterly, Yearly or Custom Range, with an option to include the prior period for comparison.
Export Format: PDF Document, Excel Spreadsheet or JSON Data.
All three formats produce a real downloadable file. Pick PDF for a board or a funder, Excel for your bookkeeper, JSON when someone is feeding another system.
Finished reports appear in Recent Reports with Report Type, Period, Revenue, Expenses, Net Profit, Status and Generated. Download from the row.
PDFs print on the paper size set for your organization, so an Australian or New Zealand organization gets A4 and a United States organization gets Letter. That setting sits with your other localization settings; see Localization and Currency.
When a report fails
A failed report shows a Failed status with the reason written underneath it, and a retry control beside the row. Read the reason before retrying: a report that failed because the range held no data will fail the same way again.
Revenue by type
The revenue breakdown lists Submission Fees, Donations, Storefront Sales, In-Person Sales and Other Revenue, and those lines add up to the total revenue printed beside them. Charges your organization paid, such as the platform charge for completed applications, are shown separately, because money you spent is not income and does not belong inside a revenue subtotal.
Commissions
Commissions (Admin → Finance → Commissions) reports what your organization earned from sales and what went to artists, using whichever commission rate applied to each sale. See Setting Commission Rates for how those rates are decided.
Payout reports
Payout Reports (Admin → Finance → Payout Reports) works backwards from your bank. Pick a range, see each Stripe deposit, and expand one to see the charges and refunds behind it. It also carries Artist Fee Coverage, the share of fees artists paid at checkout rather than your organization. See Tracking Artist Payouts.
The activity log
Activity (Admin → Activity) records what team members did. Filter by Action Type, Team Member, Start Date, End Date, Entity Type and Entity ID, then press Apply. Two views are available: Recent Activity and Action Breakdown.
Export CSV exports exactly what your filter selected, not the whole log. Filter first, then export, and the file matches what you are looking at.
Working with more than one currency
If your organization takes payment in more than one currency, every money figure is reported per currency. Crafted Call does not add Australian dollars to United States dollars to produce a single total, because that number would be meaningless. Statement exports carry a Currency column for the same reason, so a spreadsheet can group by it.
Negative amounts export as plain numbers. A refund line sums correctly in a spreadsheet rather than arriving as text.
Attribution in exports
A transaction export in CSV includes an Exhibition column and a Call column alongside the artist, submission and fee columns, so you can tell which program a line of money belongs to. The Excel version of the transaction export does not carry those two columns today. If you need attribution in a spreadsheet, export CSV.
Getting data into accounting software
From a statement you can Export CSV for a spreadsheet, QuickBooks CSV or QuickBooks IIF for QuickBooks import, or Print for a filed copy. Map Crafted Call's revenue categories and fee types onto your own chart of accounts once, and the mapping holds for later months.
For a full organization export covering members, calls, submissions, exhibitions and sales, see Exporting Your Data.
Troubleshooting
A number looks low. Check the date range and confirm you are in the right organization. Recently completed transactions can take a short time to appear.
Reports and my bank do not agree. They measure different things. Reports count what was charged; your bank shows what Stripe deposited, on a delay. Reconciliation is the bridge between them.
A report finished but the file is empty. Check the period. An empty range produces an empty document rather than an error.
I cannot see a report. Confirm your role and scoped access, then your plan. Some reports are only on higher plans; see Plans and Pricing.
