Drafting Press Releases with AI
Gallery OwnersUpdated Sep 21, 2026
Announcing a show takes a polished press release, and the blank page is the slow part. Crafted Call drafts one from the exhibition you have already built: title, dates, venue, description and artists become a press-ready draft you then edit, save and share. The tool lives in the exhibition editor under Tools → Publish & Share → Draft Press Release.
Generating a draft
Open the exhibition, go to the Tools tab, and under Publish & Share choose Draft Press Release.
Pick a Format:
Long-form Press Release is a full release with headline, dateline, body and boilerplate.
Summary / Brief is a condensed two or three paragraph version for quick distribution.
Social Media Blurbs are short posts for Twitter, Instagram and Facebook.
Fill in Media Contact (optional) with a Name, Email and Phone to print at the bottom of the release. The contact block only appears if you give both a name and an email, so a phone number on its own is dropped.
Add Custom Boilerplate (optional) if you have an "about your organization" paragraph you always use, up to 1,000 characters. Leave it blank and one is written from your organization's details.
Choose Generate.
The media contact and boilerplate fields are hidden for the social format, which does not use them.
The draft is generated and saved to the exhibition in one step. If the save does not go through, the text is still on screen: copy it out before you close the dialog.
What the draft is built from
The better your exhibition record, the better the draft. Crafted Call uses:
The exhibition title, description and curatorial statement
Opening and closing dates
Venue, city, state, and the country when you are outside the United States
Participating artists and featured artworks
Your organization's name, description and website for the boilerplate
The linked call, if there is one, for its theme, description, eligibility, reception dates, and any exhibition dates you have not filled in yourself

The dateline uses the exhibition's city, falling back to your organization's city. If neither is set, the dateline is left out rather than invented.
Artist bios and artwork details are only used when the artist has authorized their content for this purpose. Without that permission the artist is still named, but their biography is left out and their artwork is not described.
Tip: Fill in dates, venue and description before generating. The draft can only be written from what is there.
Editing the draft
After generating, the draft opens in an editor with two tabs: Plain Text, where you edit the whole release including the headline, and HTML Preview, which is read-only.
Edit freely and choose Save Changes. The button reads Saved once your changes are stored.
Editing the headline changes the text of the release but not the name the draft is filed under, so a saved draft keeps the title it was first given in your list.
Regenerate takes you back to the format and contact options so you can generate a fresh draft. It discards what is in the editor, so save or copy anything you want to keep first.
Getting the text out
The editor footer gives you three ways to take the release with you:
Copy Text puts the plain text on your clipboard.
Copy HTML copies the formatted version, for pasting into an email tool or a web page.
Download saves the release as a text file named after the headline.
Reusing saved drafts
Every draft you generate for an exhibition is kept. Reopen Draft Press Release and a Previously Saved section lists them, newest first. Select any row to load that draft back into the editor.
The trash icon on a row deletes a draft. You are asked to confirm, and deletion is permanent.
One thing to expect: a reopened draft always loads into the long-form editor, so a reopened set of social blurbs shows its text in the plain-text tab with an empty preview.
Review before you publish
An AI-drafted release is a first draft, not a finished document.
Verify every fact. Dates, venue, artist names, prices, and the spelling of everyone involved.
Check the media contact and boilerplate read correctly for this announcement.
Add your voice. A quote, an angle, or context the draft could not know is what makes a release land.
Read it end to end before you send it. You are the editor.
Troubleshooting
Generation says the rate limit is reached.
Drafting is limited to ten generations an hour for each organization. Wait and try again.
Generation failed.
Try once more. If it keeps failing, shorten a very long custom boilerplate and retry.
The draft is thin or generic.
Add detail to the exhibition first: a fuller description, run dates, venue and participating artists, then generate again.
An artist's biography is missing from the release.
Artist biographies are only included when the artist has authorized their content for press use. The artist is still named.
I cannot see the Tools tab.
Exhibition tools need an owner or administrator role with programming access on the organization.
